Please read ALL instruction parts in this email for best results!

If you have not watched WEBCAST 2 on the project homepage, that 25 minute investment could save you hours in this process. Technical instructions start at minute 14:00 in the webcast.

HOW TO GET HELP

  1. SAFE and Application Security Manager:
  2. CSV FILE UPLOAD: Contact Melanie McCalmont.
  3. SURVEY WEB INTERFACE: Contact Melanie McCalmont.
  4. SURVEY DATA ERRORS: Contact CRDC 1-855-320-6459.
  5. SKYWARD FILES: Contact your Skyward rep.

SKYWARD USERS

Some districts used Skyward civil rights data files. If you exported Skyward files from your SIS, then do not upload these DPI files. Do save them locally as a backup. If you have Skyward SIS, but did not use their data files for civil rights, then all these instructions apply to you. There may be some exceptions to this guidance. Contact Melanie McCalmont with any questions.

HOW TO GET YOUR DPI FILES

  1. LOCATION. Your DPI civil rights data files are ready for download in SAFE under report name “Civil Rights Data Files.” SAFE is where School Report Cards are posted. Find your SAFE contact in the Help #1 above.
  2. COPY the zipfile to your local working folder.
  3. UNZIP the file. There are 4 .csv files inside. These 4 files will be uploaded to the feds' web survey.
    • DO NOT OPEN THE CSV FILES WITH EXCEL! DATA CORRUPTION WILL RESULT.
  4. Make a backup copy of the files.

HOW TO UPLOAD TO THE CRDC SURVEY

  1. Log in to the CRDC survey https://crdc2011.appiancloud.com/suite/apps
  2. Already started entering data? Then create PDF backups in “LEA Form PDFs” menu in case DPI overwrites any of your numbers.
  3. Click “Upload a file” in the right menu box.
  4. FIRST, upload each of the 4 .csv files that you downloaded from SAFE. Do not open the file. Do not change the filenames.
  5. THEN upload any of your local district .csv files AFTER the DPI files are uploaded. See CORE DOCUMENTS on the project homepage for .csv help.
  6. CSV FILES MUST PROCESS OVERNIGHT at the feds' interface.

NEXT DAY AFTER UPLOAD

  1. Log in to the CRDC survey https://crdc2011.appiancloud.com/suite/apps
  2. The % Complete status will appear 0% (due to bug in feds' system). To update this, open each question and “Save and Return”, then click “Refresh Page.”
  3. Be sure to check DPI data especially in the IDEA, LEP, and Sec 504 student counts. You can overwrite any DPI data by typing over it. Your district is responsible for complete and accurate final data.

FINAL STEPS

  1. CHECK. When data are complete, do “Run LEA Level Data Checks”
    • Contact the CRDC with error check issues. See help items above.
  2. BACKUPS. Create LEA Part 1 and Part 2 pdf files BEFORE YOU CERTIFY.
  3. CERTIFY. When backup PDFs are obtained, and data error checks are complete, do “Initiate Certification”. A separate email will soon come from CRDC on this process to you.
